VOICE-MEMO THREAD

Say it into your phone once, and it ends up where it belongs.

Each memo gets transcribed, matched to its job, and split into the tasks, messages and changes inside it. Messages and change orders come to you to approve before they go out.

THE JOB TODAY

Today the memos pile up until you replay them at night

You record a memo at a red light: a question from your crew, a customer’s request, a part to order. By evening the phone holds a dozen recordings named by date, one of them eleven minutes long. You scrub through it at the kitchen table, find two of the three things you meant to do, and the third never happens.

WHAT WE AUTOMATE

Every memo sorted to its job and turned into work

Transcribed, sorted, assigned

Each memo is turned into text, matched to the job it’s about, and split into the items inside it. A question becomes a message to the person who asked, a customer’s request becomes a change order, and a part to order becomes a task on that job.

Replaying audio at night

You stop scrubbing through long memos at the kitchen table for the one thing someone asked. You stop finding out at the final invoice that a change you agreed to in passing never got written up.

FAQ

Questions about voice memos

Do I have to change how I record?
No. Ramble the way you do now, three topics in one memo, from the car with the radio on. Each memo gets split into its separate items. Saying the job name at the start helps, and a memo it can’t match to a job comes to you instead of being filed on a guess.
Will it message a customer based on something I mumbled?
Not without you. Messages to customers and vendors, and every change order, come to you as drafts to approve before they go out. Notes and tasks for yourself can file on their own, if that’s how you set it up on the call.
What about names, measurements and part numbers it mishears?
Audio from a truck or van garbles exactly those details. You check them when a draft comes to you for approval and fix the number before it reaches anyone. A wrong measurement is cheap to catch in review and expensive once a vendor has acted on it.
What happens to a memo that isn’t a task?
It gets written up and filed as a note on that job, so it stays off your task list. The notes stay in accounts you own, sorted by job, so when someone remembers a conversation differently a month later, you search the job instead of scrolling your phone.
