BILLS TO QUICKBOOKS

Your books show what you spent this week, not last month.

Bills from your inbox and receipts from your phone get entered against the right job and cost code as they arrive. You confirm the ones that need you.

THE JOB TODAY

Bills wait in three places until you have a free night

An invoice sits in your inbox, a paper bill rides on the dashboard, and a supply-house receipt ends up in a pocket. You enter the stack on a Sunday night, guessing which job half of them belong to. Until then, your job costs look lower than they are.

WHAT WE AUTOMATE

Each bill matched to a job before it reaches your books

Read, matched, posted

Bills that land in your inbox and receipts you photograph get read for vendor, amount, date and job, then coded from your own job and cost code list. Under the approval rules you set, they post to QuickBooks Online, and anything unclear comes to you first.

Typing bills at night

You stop keying invoices line by line after a full day and guessing which job a receipt belongs to. You stop finding out a job ran over budget weeks late because the bills behind it never got entered.

HOW WE INSTALL IT

Four steps, and you’re never locked out of your own systems.

  1. A free discovery call, where you walk us through a normal week.
  2. A written plan: exactly what we’ll build and in what order, credited in full toward setup if you move forward.$500written plan, credited toward setup
  3. Build: we build it inside the accounts you already use, QuickBooks, email, your calendar.
  4. Go live. You review what matters, and we run the rest.

WORKS WITH

Posts to the QuickBooks Online file you already keep

Bills come in through your Gmail or Outlook and as photos from your phone, then post to your own QuickBooks Online. If you run JobTread, your job list can come from there.

FAQ

Before anything touches your books

Does anything post to QuickBooks without me seeing it?
Only what you tell it to. On the call you set the rules, such as a regular vendor under a set amount posting on its own while everything else waits for your OK. You can start with every bill held for review and loosen that once you trust what you see.
What happens when a bill doesn’t say which job it’s for?
It comes to you to confirm before it goes in. You pick the job, and the bill posts with it. Asking your regular vendors to put the job name or your PO number on every invoice means it happens less often.
Will my bookkeeper have to learn something new?
No. Your bookkeeper works in the same QuickBooks Online file as always, with bills entered against your own accounts and jobs as they arrive instead of in one batch at month-end. Bring them to the call if they want a say in how bills get coded.
What do you need from my books to set this up?
Access to your QuickBooks Online and the inbox where bills arrive, plus your list of open jobs and the accounts you code to. If those names are messy, we clean them up with you first, because the system codes from the list you give it.
