Privacy Policy

Effective date: October 13, 2026

Oak City Intelligence is a trade name of Mony Group LLC, a North Carolina limited liability company operated by John Kelly in Raleigh, NC. This policy explains what information we collect, how we use it, and your rights.

Information We Collect

On this website, we collect information only when you take an action that provides it: booking a call, paying for a subscription, emailing us, or sending us a question.

  • Booking information. When you book a call, you give us your name, email address and phone number, and you choose whether to tick the box agreeing to text messages. We store these, with the page you booked from, in our own system so we can prepare for the call and follow up. You then pick a time in Cal.com, which receives your name and email to schedule the call and handles them under its own privacy policy.
  • Payment information. Subscription payments (such as Concierge) are processed by Stripe. We do not store your card number. Stripe handles payment data under its own privacy policy.
  • Email correspondence. If you email us directly, we retain that correspondence to respond to your inquiry and follow up as needed.
  • Questions you send us. See "Questions You Ask Us" below for what we collect and why.

How We Use Your Information

  • To prepare for and hold the call you booked, and to follow up about it
  • To send the written plan or proposal you asked for
  • To text you about your call or project, only if you ticked the box (see SMS Communications)
  • To run and support a service you buy from us
  • To answer a question you send us, and to publish it if you asked publicly

We do not sell, rent, or share your personal information with third parties for marketing purposes, except as described in the Meta pixel section below.

Questions You Ask Us

This site includes a question box where you can send us something you'd like answered, either publicly or privately. Depending on which you choose, we collect:

  • The question itself — the text you write, on both options.
  • Your name and email — only if you choose to ask privately, so we can reply.
  • Your IP address, browser user agent, and the page you were on — on both options, the same way this information travels with any request to this site.

We store this in our platform database to read and answer your question. If you asked publicly, we may also publish your question and our answer as an article on this site — that's the point of the public option, and sending a public question is your permission for us to do that. We may edit a question for length or clarity, or decide not to publish it; if we decline, we don't notify you, and an anonymous asker has no way for us to reach them either way.

What "anonymous" means here: asking publicly means we don't collect your name or email, and have nothing to write back to. It does not mean the request is untraceable — like any request to this site, it carries an IP address and user agent, described above.

We keep a question and any reply for as long as it's useful to us. Most public questions become an article, at which point the article is what stays; questions we don't publish we hold as a backlog and clear out periodically. If you asked privately and want your question and reply deleted, or if your question was published and you'd like it taken down, email john@oakcityintelligence.com. There's no self-service removal — we do it by hand — and if it was published, the article, its blog feed entry, and its sitemap line all come down.

SMS Communications

Oak City Intelligence provides an AI virtual-receptionist service. We send SMS both from our own business number and, as a messaging platform, on behalf of the small businesses we serve — using each business's own number to reach that business's own customers. In every case, you opt in at your point of contact with the business, in one of three ways:

  • You text first. When you send a text to the business's number, you consent to receive replies related to the inquiry or service you initiated.
  • You give verbal consent on a call. During a phone call, we ask your permission to send text updates about your appointment or service request, and we proceed only if you agree.
  • You tick the box on our booking form. The box is unticked by default. If you tick it, you agree to receive texts from Oak City Intelligence about the call you booked and the work that follows. Booking a call never requires it.

After you opt in, your first message is a confirmation that identifies the business, states the message frequency, notes that message and data rates may apply, and explains how to opt out. We use SMS only for appointment confirmations and reminders, follow-up about the service you requested, and conversational support for active customers. We do not send marketing, we do not message purchased lists, and we never require you to visit a third-party website to consent.

  • Frequency: message frequency varies based on your engagement. Most contacts receive fewer than five messages per month outside of an active back-and-forth conversation.
  • Cost: message and data rates may apply, as set by your carrier.
  • Opt-out: reply STOP at any time to stop messages. Reply HELP for assistance.
  • Information sharing: we do not share or sell phone numbers or SMS opt-in data to third parties or affiliates for any purpose.

The Oak City Intelligence Platform

Separately from this website, we operate a platform at app.oakcityintelligence.com that our business clients use to run the AI services they buy from us. If you are a customer of one of those businesses, your information reaches us because that business uses our software — they decide what to collect and why, and we process it on their behalf.

Through the platform we handle:

  • Conversations — the text and phone conversations our AI receptionist handles for a business, including the phone number and name of the person contacting them and what they were asking about.
  • Contacts and appointments — the contact records and bookings created from those conversations.
  • Business configuration — a business's hours, services, pricing, tone, and the other details that let the AI answer accurately on their behalf.
  • Account credentials — the login for each person authorized to use the platform on behalf of their business.

Each client business is kept in a separate account with its own data. We do not train shared models on one client's data for another client's benefit. A business can export or request deletion of its data at any time.

To deliver these services we send conversation content to third-party AI model providers, and we send and receive calls and messages through a telephony provider. Those providers are listed under Third-Party Services below.

Connected Social Accounts

Our content tooling lets a business connect its own social media account so that videos it approves can be published there. Connecting is optional, is initiated by the business, and happens through the platform's own authorization flow — we never ask for or store a social media password.

When a business connects a TikTok account, we receive and store:

  • an access token and refresh token that let us act on that account only for the permissions granted;
  • the list of permissions granted;
  • the account's TikTok user identifier;
  • the account's display name and profile image, which we show on the approval screen so the operator can confirm which account they are about to post to.

We use these only to publish videos that a person at the business has explicitly approved, one video at a time. Every video we publish is declared to the platform as AI-generated content. We do not read the account's existing posts, followers, messages, or contacts, and we do not post anything without a specific human approval of that specific video. If a business enables performance reporting, we retrieve view and like counts for videos we published so it can see how they performed.

We do not sell this data, share it with advertisers, or use it to build profiles of anyone. Access to stored tokens is limited to the systems that need them to publish on the business's behalf.

A business can disconnect a social account at any time from the platform's settings page, which removes the stored tokens. Access can also be revoked directly from the social platform's own settings, which invalidates our tokens immediately. On disconnection we delete the stored tokens and account identifiers; videos and captions already created remain in the business's own account with us until the business deletes them or closes the account.

Cookies & Analytics

This site uses PostHog, a US-hosted analytics service, to understand how visitors use it. PostHog sets a first-party cookie in your browser and collects the pages you view, the site that referred you, your approximate location from your IP address, your device and browser, and how long you spend on each page. We also record sessions — a replay of how you move through and interact with a page — so we can see where a visitor gets stuck; every field you type into, including the question box, is masked in these recordings and never captured. Data is kept for one year and then deleted — the retention that comes with the plan we use, left as it is. Session recordings expire on that same clock or sooner. We honour the Do Not Track browser setting: if it's on, PostHog does not run. Third-party services listed above may set their own cookies when you interact with them. The IP address and user agent logged when you send a question, described under "Questions You Ask Us" above, are collected as part of handling that request whether or not analytics runs. We also use the Meta pixel on our ad landing pages to measure how our Facebook and Instagram ads perform and to show you more relevant ads; it sets its own cookie and shares the pages you view and the actions you take on those pages, such as submitting a form or booking a call, with Meta. You can manage ad personalization through your Meta ad settings or by blocking cookies in your browser. Outside the Meta pixel described above, we do not sell this data or share it with advertisers.

Data Retention

We keep booking details, email and call notes for as long as we need them to work with you or follow up. If you'd like your information removed, contact us and we'll handle it promptly.

Platform data — conversations, contacts, appointments, generated content, and connected-account tokens — is retained for as long as the business maintains its account with us, and is deleted on request or when the account is closed.

Your Rights

You may request to access, correct, or delete any personal information we hold about you. Email us at john@oakcityintelligence.com and we'll respond within 5 business days.
